Vascue for Cliniko and Nookal: AI WhatsApp Intake and Booking

Most allied health practices on Cliniko or Nookal are running their front desk the same way they were five years ago: phone calls during business hours, and a receptionist spending the bulk of their day on tasks that do not require clinical judgement. Vascue was built specifically because of this gap. The practice management system handles the clinical record. Everything around it (the patient communication, the operational reporting) is still manual and still dependent on staff hours.

That model has a ceiling. A meaningful share of patient-initiated contact happens outside standard business hours: the inquiry sent on Sunday evening, the rescheduling request at 7am, the new patient asking about availability during their lunch break. A Mayo Clinic study measured almost a third of patients' self-scheduling activity happening outside business hours. A front desk that only operates during staffed hours loses that contact before it enters the system. Vascue captures every one of those inquiries through WhatsApp and other communication channels, answering and confirming bookings on its own.

Vascue is an AI operations layer that sits on top of Cliniko and Nookal. It does not replace either system. It extends them, adding the patient communication and operations visibility that practice management software was not designed to handle. The clinic keeps its existing setup exactly as it is, and Vascue handles the layer of work that currently falls to staff or goes unhandled after hours.

What Vascue Does for Cliniko and Nookal Practices

1. WhatsApp Intake, Available Around the Clock

Vascue connects to WhatsApp and other communication channels, managing every patient inquiry from first message to confirmed booking without staff involvement. When a patient sends a message, at any time of day, Vascue replies, collects the intake details, and confirms the booking before the chat ends. Nothing is transcribed manually, and the patient receives a confirmation before they close the app.

2. Works With Cliniko and Nookal

Vascue connects to the Cliniko and Nookal setup the practice already runs, and to other EMRs where a clinic runs something different, so the clinic does not add a separate system to manage alongside it. The front desk operates through Vascue while the practice management system stays the system of record.

3. Operations Visibility for Clinician-Managers

Clinicians promoted to practice management rarely receive formal business training. Most enter management having spent their careers developing clinical expertise, not operational or business skills. Vascue is building an operations layer (currently in development) for exactly that transition.

It is designed to surface operational data that Cliniko and Nookal hold but do not proactively present: where the practice is undercharging relative to appointment complexity, which appointment slots generate the longest wait times, and where patients are dropping off between first contact and completed payment, in plain language rather than raw data exports. More than reporting, the goal is to guide practitioners through the operational decisions behind the data, building their business knowledge while handling the execution directly.

What This Looks Like in Practice

A physiotherapy clinic with four practitioners on Nookal runs Vascue alongside its existing setup. On Sunday evening, a new patient sends a WhatsApp message asking about availability for a shoulder assessment. Vascue picks it up on its own, asks the intake questions, and confirms a Tuesday 10am appointment within the same conversation, all before midnight. The practitioner arrives Monday morning and the Tuesday booking is already there, with the patient's intake information attached.

At the end of the month, the operations view (currently in development) is built to flag when patients are dropping off between first contact and completed payment for one practitioner's Friday slots, and to walk the practice manager through what is driving the gap and what to change, so the decision is made with a clear picture rather than a hunch.

Setup and Integration

Vascue does not require replacing Cliniko or Nookal. The integration connects to the existing practice management environment. Calendar rules, provider schedules, patient records, and clinical notes stay exactly where they are. Vascue adds the communication and operations layer on top, connecting to the PMS rather than duplicating it.

The clinic keeps working in Cliniko or Nookal exactly as before, while Vascue handles the layer of communication and operations around it.
